NYC Luxury Travel Planning Guide

From your arrival flight to a day of shopping or meetings, plan the right car, the right pickup, and enough time to enjoy New York.

In short

4 min read · or just these 4 points

  1. Book airport rides once your flights are set, and at least 48 hours ahead for peak dates.
  2. Share your airline, flight number, full address, passengers and bags.
  3. Free waiting starts at touchdown: 30 minutes for domestic arrivals, 60 for international.
  4. A single transfer suits a direct trip; hourly suits a day with several stops.

When should you book a NYC chauffeur?

Once your flights and accommodation are confirmed, reserve your airport journeys and any time-sensitive rides. For peak dates, our concierge recommends booking at least 48 hours ahead. Weddings, group outings, and itineraries with several vehicles deserve earlier coordination rather than a last-minute availability check.

For same-day travel, check the minimum advance notice displayed during booking. If your pickup is sooner, contact the concierge to check availability. Do not treat an inquiry as a confirmed car: look for your reservation confirmation. Sprinter requests require eligibility and availability review and admin approval before confirmation.

Leave room for baggage collection, hotel check-in, and traffic before making a fixed lunch or meeting commitment after landing. For your departure, work backward from your airline's recommended airport arrival time and allow a traffic buffer; a journey across New York is not reliably timed by mileage alone.

Airport pickup logistics, without the guesswork.

For JFK, LaGuardia, or Newark, share your airline, flight number, arrival date, and full destination address. Include the hotel or building name as well as the street address, and tell us how many people and bags are traveling. International arrivals need time for immigration and customs as well as baggage collection.

Choose curbside pickup if you prefer to meet the car outside at the agreed pickup location. If you want an inside meeting, request the optional Meet & Greet service and review it in your quote. Follow your chauffeur's instructions for your terminal rather than assuming the car can stop at any exit; airport pickup arrangements can change.

Flight tracking adjusts pickup to your actual landing time. Complimentary waiting begins at actual touchdown, not when you reach the curb: 30 minutes for domestic arrivals and 60 minutes for international arrivals. If you expect to exceed that allowance, or your flight changes, is diverted, or is significantly delayed, contact the concierge to reconfirm arrangements.

Your chauffeur's name, direct phone number, and vehicle details are emailed as soon as an assignment is made. Your booking confirmation page shows the latest assignment. Keep your phone reachable after landing so you can coordinate the meeting point.

Flying privately into Teterboro? Provide your FBO, tail number, and expected arrival. Coordinate the meeting point with the concierge; access to the aircraft is subject to FBO permission, not a guaranteed part of every pickup.

A transfer or a chauffeur by the hour?

A single transfer suits a direct journey from the airport to your hotel or from dinner back to your accommodation. Hourly, or As Directed, service is useful when your day has several stops or you want the same chauffeur and vehicle waiting between appointments. Waiting between stops is part of the time you reserve.

Think about the entire itinerary, including driving, shopping, meals, and the return journey, before choosing your hours. Vehicle-specific minimums and the available duration are shown when you reserve. Your hourly quote includes the vehicle, and professional chauffeur; optional extras are itemized. Time beyond the reservation is reviewed by our team before an overtime charge is confirmed.

A flexible Manhattan shopping afternoon

Start at your hotel, visit Saks Fifth Avenue or Bergdorf Goodman, then continue to the SoHo boutiques before returning for dinner. Your chauffeur stays with the vehicle while you shop, so bags do not have to follow you between stores. This is a suggested route, not a fixed-duration package: choose the number of stops and browsing time that suit you.

Woodbury Common Premium Outlets and The Mills at Jersey Gardens are alternatives outside Manhattan. Allow for the outward drive, shopping time, traffic, and the full return trip. For a group-shopping day, request a Sprinter hourly itinerary and wait for the team's eligibility and availability approval. Store names describe destinations only, not partnerships.

Choose the right vehicle for people and bags.

Count both passengers and luggage before choosing a category. A seat count alone does not tell you whether large suitcases, a stroller, child seats, or shopping bags will fit comfortably. Review the current capacities during booking and ask the concierge about bulky items or a full passenger load.

Models shown are examples of a category. Your actual vehicle may vary with availability but will be an equal or higher class. If traveling with children, request the appropriate child-seat type during booking and have the team confirm suitability and availability.

Your pre-booking checklist

  • Arrival and departure dates, airline and flight numbers
  • Hotel or venue names with full street addresses
  • Passenger count, luggage, and any bulky items
  • Child-seat requests and accessibility or assistance needs to discuss
  • Every planned stop and enough reserved time for the return journey
  • A reachable contact number and any fixed appointment times

Review your exact quote, optional extras, and confirmation status before relying on a reservation. If your plans change, contact the concierge with your reservation number rather than assuming an address or pickup-time change is automatic.
